A. Main Tasks and Responsibilities
1. Acquisition
- Conduct thorough market research to identify potential EU funded projects and tenders.
- Analyze market trends, competitor activities, and other relevant factors to inform the organization’s strategy.
- Identify and evaluate business opportunities within the scope of EU funded projects and tenders.
- Keep track of upcoming calls for proposals, project tenders, and funding opportunities from EU institutions.
- Build and maintain relationships with key stakeholders, including EU institutions, government agencies, NGOs, and other relevant entities.
- Attend networking events, conferences, and workshops to establish and nurture contacts within the industry.
- Lead the development of high-quality proposals and tender submissions in response to EU project opportunities.
- Collaborate with technical experts, writers, and other team members to ensure comprehensive and compliant proposals.
- Identify and engage potential partners, consortium members, and subcontractors for collaborative efforts on EU funded projects.
- Establish and maintain partnerships to enhance the organization’s competitiveness in tender submissions.
- Ensure that all proposals and business activities comply with EU regulations, guidelines, and legal requirements.
- Stay informed about changes in EU funding policies and regulations that may impact the organization’s operations.
- Work with the finance team to develop accurate and competitive project budgets.
- Monitor financial aspects of EU funded projects, ensuring adherence to budgetary constraints.
- Negotiate terms and conditions of contracts with clients, partners, and subcontractors.
- Ensure that contractual agreements align with the organization’s goals and comply with EU regulations.
- Prepare regular reports on business development, project implementation activities, pipeline, and key performance indicators.
- Implement quality assurance processes to enhance the overall quality of proposal submissions.
- Continuously improve proposal development processes based on feedback and lessons learned.
- Innovate and adapt strategies to remain competitive in the evolving landscape of EU funded projects.
2. Implementation
- Supporting the Project Director and Project Manager in supervising the Technical Assistance Team (TAT),
- Supporting the Key Experts in carrying out project activities,
- Managing an area of responsibility that forms part of the project’s objectives,
- Identifying, mobilizing and coordinating all NKEs to implement project activities and following up the tasks and deadlines of team members,
- Assisting the Key Experts and NKEs involved in the project in matters related to language problems or other problems due to being and working in a foreign country,
- Managing project resources, guaranteeing quality assurance of the project outputs and supporting TAT in meeting all the technical and administrative obligations towards the Contracting Authority,
- Organizing regular monthly management and steering committee meetings and presenting the progress of project activities/interventions/components,
- Coordination of backstopping team including Office Manager/Finance Assistant, Project Assistant, etc,
- Organizing project events, such as meetings, conferences, study visits, etc,
- Managing and keeping record of the timesheets and necessary documentation related to Key and Non-Key Experts in coordination with Office Manager/Finance Assistant,
- Supporting carrying out specific research tasks which are required for the implementation of the project,
- Carrying out specific tasks in connection with knowledge management for the projectPrepares contracts of NKEs, procurement requests and documentation for project related activities in close cooperation with Office Manager/Finance Assistant.
B. Required qualifications, competences, and experience
- BA/MA in Business Administration, International Relations, Economics, Social sciences, or any other relevant field
- Preferably 7, but a minimum of 5 years of professional experience is required.
- A minimum of 3 years of experience in project coordination & management tasks is necessary.
- Having at least 3 years of professional experience with EU-funded projects is an asset.
- Fluency in written and oral Turkish as well as English (at C1-Level). Knowledge of German is an asset.
- Dynamic personality with a dedicated focus on the delivery of quality services even under tight timelines, Self-motivated with proven ability to work creatively, proactively, and innovatively with limited direct supervision.
- Ability to contribute to decision-making and problem-solving by advising in a context of potentially diverse interests and complex issues/problems.
- Outstanding verbal and very good written communication skills.
- Strong interpersonal skills and a sense of political and other sensitivities.
- Strong organizational skills and experience in administration.
- Willingness and ability to regularly travel within Turkey.
- Very good working knowledge of ICT and computer applications (e.g. MS Office package).
- Willingness to enhance skills as required by the tasks to be performed – measures will be agreed upon with the management.
