Title: Junior Administrative Specialist
Period of Assignment: 1 year

Location: Gaziantep

Project: BRIDGE

A. Main Activities

Coordination and Communication

  • Responsible on setting up the regular online meetings (sending invitations, sharing related documentation, guiding the attendees when is required)
  • Assists with planning, coordinating and documentation of the regular exchange meetings.
  • Assists short-term experts assigned to projects/programmes in completing their tasks.

Implementation of Project Activities

  • Develops the content of the exchange meetings regularly for online and onsite meetings with consultation of the supervisor and the team.
  • Follows up the logistic preparation with office manager and the team to provide directions according to the needs.
  • Co-moderating the meetings with the responsible officer (create breakout rooms on online platform, uses the needed tools for moderation)
  • Writes the reports of the meetings and share it with the participants and upload them to the system.

Monitoring and Evaluation

  • Supports project monitoring and updates information on project progress, documents and reports regularly on the status of results.
  • Assists the M&E advisor in the data collection.
  • Assists the M&E advisor and responsible officer in preparing the survey questions.
  • Analysis the data collected from the meetings and develop the next meetings accordingly.

Other duties/additional tasks

  • Assists other experts, if necessary, as translator
  • Search and communicate with experts to host in the meetings according to the topics.
  • Assists in preparation of the consultancy contracts.

B. Required qualifications, competencies and experience

Education/Qualifications

  • Bachelor’s degree on communication, social relations, IT or similar studies

Professional experience

  • At least 3 years of professional experience in a comparable position
  • Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office).
  • Excellent skills in online meeting setups.
  • Professional behaviour in a politically and culturally highly sensitive context.
  • Dynamic personality with a dedicated focus on the delivery of quality services even under tight timelines.

Other knowledge, additional competencies

  • Native Arabic, excellent English, knowledge of Turkish or German as an asset
  • Good management, time management and organisational skills.
  • Good communication skills
  • Ability to work proactively and independently.
  • Ability to work to tight deadlines.
